Despite their market-leading position, Altima faced a critical operational challenge. Their recruitment intelligence platform, Clockwork, held valuable compensation and candidate pipeline data. But getting that data into usable formats for reporting, client updates, and internal decision-making required constant manual work. Every compensation question meant another manual export. Every client update required hand-building spreadsheets. The team was spending 8-10 hours per week just moving data around instead of placing top-tier CFO talent.

Challenges

Before implementing automated data pipelines, Altima struggled with operational friction that was slowing down their high-velocity search business:

  • No single source of truth for compensation data - Every time a team member needed to answer a compensation question for a client or candidate, they had to manually export data from Clockwork, clean it up, and format it. This meant 30-45 minutes per compensation request, adding up to hours each week.

  • Manual client reporting was killing productivity - To update clients on search pipeline progress (how many candidates approached, interviewing, at offer stage), the team manually pulled Clockwork data, matched it to their terminology, and built custom reports. This process took 2-3 hours per client update.

Different team members would have different versions of compensation data or pipeline stats, leading to confusion and inconsistent client communications.

The Solution

RevOps Automated designed and implemented two precision-engineered Clockwork automations that work together as Altima's central nervous system for recruitment intelligence. Both automations run continuously in the background, keeping data synchronized and reporting always up to date.

Automation 1: Clockwork to Google Sheets Compensation Pipeline

This automation creates a living, breathing compensation database that updates itself automatically every time a candidate record changes in Clockwork.

How it works:

The automation triggers whenever a person's record is updated in Clockwork. It immediately checks if the candidate has compensation data attached and only continues processing if all the critical fields are filled in (currency, base salary, bonus, equity). This smart filtering means Altima isn't wasting automation tasks on half-empty records.

When a record passes the quality check, the automation writes one clean, structured row to a Google Sheet. If that person's compensation changes later, the automation updates the existing row instead of creating duplicates. This "one row per person" approach keeps the data clean and trustworthy.

The Google Sheet captures everything the team needs for cross-region compensation reporting:

  • Date entered

  • Company

  • Candidate name

  • Position

  • Location

  • Currency code

  • Base salary

  • Bonus structure

  • Equity package

  • Clockwork person ID

  • Last updated timestamp

Automation 2: Clockwork to HubSpot Project Sync

This automation keeps Altima's client-facing search pipeline in HubSpot perfectly synchronized with candidate progress in Clockwork, giving clients and internal teams real-time visibility into every active search.

How it works:

Every night, the automation runs a full sync between Clockwork projects and HubSpot. It maps Clockwork's candidate stages to Altima's client-friendly terminology and populates custom pipeline fields in HubSpot's Projects object and Trade Meeting board.

The automation translates complex Clockwork stages into clear, actionable metrics:

  • Approached (all time) = How many candidates were initially contacted

  • In Contact (all time) = Active conversations happening

  • Reviewing Brief (all time) = Candidates evaluating the opportunity

  • 1st Interview (current) = Candidates in first-round client interviews

  • 2nd Interview (current) = Candidates in second-round client interviews

  • Offers / Placed (current) = Candidates with offers or successfully placed

  • Total candidates = Full candidate count per search project

The sync also tracks candidates who are Out, On-hold, or at Reference stage, capturing the complete picture without cluttering the main funnel metrics.

Clients can now log into HubSpot and see exactly where their CFO search stands without waiting for a manual update. Internal teams have a live dashboard showing all active searches at a glance.
